Below you'll find important deadlines, points of contact, resources and more to make your participation at The Hospitality Show as seamless as possible. In addition, we've included social media graphics, caption copy, banner ads and more, that you can use to let your following know you'll be speaking at the event! Below is a roundup of all the important information you need to know to maximize your time pre-event and on-site. Plus, spread the word about your conference presentation with the helpful resources below.

Speaker Important Information & Deadlines
Speaker Agreement
We require each individual speaker to sign and return a speaker agreement and speaker appearance release prior to the show. Your signed agreement confirms your intent to speak at the event. Please refer to your speaker Welcome Letter for the link to your speaker agreement. If you have any questions, please reach out to Jasmine Lathon-Gordon, [email protected].
Headshot and Bio:
Please submit your headshot and bio for the website through the Sessionboard portal. We update The Hospitality Show website and mobile app with all speaker biographies and headshots from your portal. If you have any questions or issues with uploading your headshot, please reach out to Jasmine Lathon-Gordon, [email protected].
To access your speaker portal, please follow these instructions or reach out to our team for assistance.
Session and Profile Review:
Please review your session on The Hospitality Show website and profile to ensure accuracy. If edits need to be made, please email Madeline Kinney, [email protected] or Maddy Glist, [email protected].
PowerPoint Deadline and Requirements: October 6, 2025
Please note: Presentations are not required. Show Management will provide a title slide if no presentation is submitted.
All conference session content must be non-commercial and educational in nature, and the promotion of a specific person or company and/or its products or services is NOT permitted. Speakers must use the template below.
ALL slide submissions MUST follow the requirements below:
- Presentations must be submitted in PPT format. You will not be able to present from PDF files.
- Make sure your presentation is in 16:9 format
- If you have video or audio files embedded in your presentation, please send to Jasmine Lathon-Gordon, [email protected] separately.
- If using videos, please limit to 2 videos per session.
- Slides CANNOT contain:
- Custom fonts as these are difficult to transfer to AV.
- Embedded excel files
- SmartArt graphics

Panel Prep Calls
For speakers on panels, no presentation slides are required. Madeline Kinney and/or Maddy Glist will schedule panel prep calls 2-3 weeks prior to the event. During these prep calls, panelists and moderator will set a flow, structure, and seed questions for the discussion.
AV Equipment & Electrical Needs
Any special requests must be submitted via email and approved by show management by October 9, 2025. Show management does not guarantee that it can fulfill all requests but will do their best to accommodate.
Each conference room and/or stage will be equipped with the following standard audio/visual equipment:
- High resolution LCD projector and screen (16:9) format
- Lavaliere microphone or handheld microphone, per speaker
- Podium with microphone
- Speaker timer
- Confidence monitor
- Slide advancer
An AV tech will also be stationed in every session room/stage to assist, and an AV Table that will have presentation preloaded, if applicable.

Speaker Registration & Benefits
Registration
As a conference speaker, you receive a complimentary All Access Pass to the expo and conference. You receive full access to all onsite receptions, exhibitions, entertainment and conference sessions.
Benefits
- One additional guest pass, we invite you to share your experience at The Hospitality Show with a colleague. Please use the form within the Sessionboard portal to request a guest pass for your colleague, customer, or industry peer.
- A $100 discount off any pass for your network (unlimited use). Share code: THS25SPEAKER to your network to enjoy some savings. You can begin circulating this discount straightaway.
- All speakers have the opportunity to submit a blog and/or article to be posted on www.hotelmanagement.net to better promote their session. The articles should be between 400-500 words and contain at least one educational action item. For more information, please email Esther Hertzfeld at [email protected].
